Privacy Policy

This Policy describes the personal information Bluefox processes, why we use it, when we disclose it, and the choices available to individuals.

Scope and our role

This Privacy Policy explains how Bluefox Software (“Bluefox,” “we,” “us”) handles personal information through our websites, applications, support, and related services.

When a business uses Bluefox to manage its customers, workers, jobs, invoices, or other records, that business determines why and how that information is used. Bluefox generally acts as its service provider or processor. Individuals should first direct requests about business-managed records to that business. Bluefox acts as the business responsible for account, website, billing, and direct relationship information described here.

Information we collect

Information you provide

  • Account and business details, such as names, email addresses, phone numbers, roles, company name, industry, city, and state.
  • Customer, technician, lead, job, estimate, invoice, payment, inventory, equipment, timesheet, note, image, and other workspace records.
  • Support messages, bug reports, suggestions, demo requests, referrals, and other communications, including questions you type into Azul help.
  • Subscription and transaction details. Payment-card and bank credentials are collected directly by Stripe or another payment provider; Bluefox receives limited identifiers, status, brand, and last-four information.

Information collected automatically

  • Device, browser, IP address, session, security, access, and diagnostic information.
  • Usage and interaction information needed to operate, secure, and improve features.
  • Location information associated with company, customer, job, inventory, or technician records. Precise technician location is processed only when the relevant feature is enabled and permission is provided.

Information from others

We may receive information from account administrators, authorized users, Google sign-in and Maps services, Stripe, referral sources, integrations, and other providers you choose to connect.

How we use information

  • Provide, personalize, maintain, and support the Service.
  • Create accounts, authenticate users, manage permissions, and prevent fraud or abuse.
  • Process subscriptions, connected payments, invoices, referrals, and transaction records.
  • Provide maps, address suggestions, dispatch, reporting, tax estimates, exports, and integrations.
  • Send verification, security, billing, product, support, and legally required communications.
  • Debug, analyze, secure, and improve the Service and develop new features.
  • Comply with law, enforce agreements, and protect people, rights, property, and the Service.

How we disclose information

We disclose personal information only as needed for the following purposes:

  • Account users and administrators: according to workspace roles and permissions.
  • Service providers: hosting, database, email, authentication, maps, payments, security, support, and infrastructure providers acting for us.
  • AI help: when you use Azul, we send your question, limited chat history, and current app section to OpenAI to generate an answer. We save Azul conversations so you can revisit them and Bluefox support administrators can review them to help with issues. We do not automatically send customer or workspace records to the assistant.
  • Integrations: third parties you direct us to connect with, such as Google and Stripe.
  • Legal and safety: when reasonably necessary to comply with law, legal process, or protect rights and safety.
  • Business transactions: in connection with financing, merger, acquisition, reorganization, or sale, subject to appropriate protections.
  • With permission: when you direct or authorize the disclosure.

Bluefox does not sell personal information for money and does not share personal information for cross-context behavioral advertising. If this practice changes, we will update this Policy and provide legally required choices before the change applies.

Cookies and local storage

We use essential cookies for account sessions, registration, Google sign-in security, and protected administration features. We also use local browser storage for preferences such as theme, navigation, report layouts, and dismissed interface state. Stripe, Google Maps, or other integrations may set or read their own technologies when their features load.

Bluefox currently does not use advertising cookies on its public website. See our Cookie Policy for details and controls.

Retention

We retain information while an account is active and as reasonably needed to provide the Service. Azul AI messages stop appearing two days after they are sent and are then deleted from the active database by an hourly cleanup. Empty AI chats are deleted too. Human support chats follow the normal account retention period. When a business account is deleted, we immediately revoke access and cancel its subscription, retain its workspace for 14 days so support can assist with recovery, and then schedule permanent deletion. Other retention periods depend on legal obligations, disputes, fraud prevention, financial recordkeeping, and backup cycles.

Some deleted business records may remain recoverable for a limited period shown in the Service before permanent deletion. Residual copies may remain temporarily in protected backups. We may retain de-identified or aggregated information that no longer identifies an individual.

Security

We use administrative, technical, and organizational safeguards designed to protect personal information, including access controls, tenant separation, encrypted transport, hashed credentials and session tokens, and restricted service access. No system is completely secure, and you are responsible for using strong credentials and appropriate workspace permissions.

Your choices and rights

  • Review and update account and business information in Settings.
  • Manage subscription payment methods through Stripe and connected payment settings where available.
  • Export supported workspace data and request account deletion through Settings.
  • Control browser storage through browser settings, understanding that blocking essential cookies prevents sign-in.
  • Unsubscribe from marketing email using the link in the message while continuing to receive essential service communications.

Depending on where you live, you may have rights to know, access, correct, delete, or obtain a copy of personal information, and to appeal or limit certain processing. Bluefox will not discriminate against you for exercising an applicable privacy right. Email accounts@bluefoxsoft.com to submit a request. We may verify your identity and authority before responding.

California privacy notice

California residents may request information about categories and specific pieces of personal information collected, sources, purposes, categories of recipients, and may request correction or deletion, subject to legal exceptions. The categories collected are described in “Information we collect,” and the purposes and recipients are described above.

Bluefox does not sell personal information or share it for cross-context behavioral advertising. Bluefox does not knowingly sell or share personal information of consumers under 16. Authorized agents may submit requests, subject to verification of authority and identity.

Children

The Service is for businesses and is not directed to children under 13. We do not knowingly collect personal information directly from children under 13. Contact us if you believe a child provided personal information directly to Bluefox.

United States processing

Bluefox and its service providers process information in the United States. If you access the Service from another country, your information may be transferred to a country with different data-protection laws. Additional contractual terms may be available where required.

Changes to this Policy

We may update this Policy as our practices, services, or legal obligations change. We will post the new effective date and provide additional notice when required.
